Welcome to iClosed's Billing Policy, your guide to understanding how our subscription plans work and what to expect regarding charges and billing cycles. Whether you're managing a Startup or a Business plan, our billing policy ensures that you have control over your subscription and can make adjustments as necessary. Below, we outline key points to help you navigate our billing system effectively.
Subscription Pricing and Seats: Your subscription price is closely tied to the number of seats you add to your plan. Our Business plan requires a minimum of 5 seats, ensuring scalability for growing teams. As you adjust your number of seats, the subscription price is automatically recalculated.
Billing Cycle: For subscriptions, you'll receive a consolidated invoice at the beginning of each billing cycle, detailing any changes in the number of seats and associated charges.
Your credit or debit card is automatically charged at the beginning of every billing period, whether monthly or yearly, ensuring seamless payment processing
1. Startup plan - Monthly subscription
Adding Seats:
With a Monthly subscription, your plan renews every month
If you add more seats to your Startup plan, we'll calculate the cost based on the time left in your current billing cycle and charge you accordingly.
For example:
Let's say you bought a Startup plan on April 1st for $39 per seat per month.
After 16 days, you added two new seats.
We'll only bill you for the 14 days left in your billing period, and you'll be charged right away.
Here’s how the cost for the two seats is calculated:
In your next invoice, you'll notice an extra charge of $36.4 for the two new seats you added. After that, in the subsequent invoices, each seat will be charged at the full monthly price of $39, as mentioned in the example above.
Removing seats:
If you remove a seat from your plan, it remains active until the end of the billing cycle.
For example:
Suppose you're subscribed to the Startup plan starting from April 1st, which costs $39 per seat monthly,
Now you have 8 seats in your account, making your monthly payment $312.
On April 10th, you decide to remove 2 users, but your billing cycle restarts on May 1st.
Those 2 removed user seats will stay active until May 1st.
Then, on the next billing cycle day (1st May), you'll only be charged for the occupied seats in the next billing cycle and you will receive an invoice of $228 ($39 per seat x 6 seats).
Please note that instead of providing credit, seats will remain active for the duration of the billing period for which you've already paid (in this case, monthly). Removal of seats is only processed at the end of the billing cycle.
2. Startup plan - Annual subscription
Adding seats:
With an annual subscription, your plan renews every 12 months.
If you decide to add more seats to your Startup plan, we'll calculate the cost based on the remaining time in your current billing cycle and charge you accordingly.
For example:
Let's say you purchased a Startup plan on March 13, 2024, for $29 per seat per year, totaling $348 ($29 x 12).
Then, on May 11, 2024, you added two more seats to your annual plan.
Since the price for each seat on your yearly plan is $348, you'll be charged a prorated amount for the period from May 11, 2024 to March 13, 2025.
We'll only bill you for the 306 days left in your billing period, and you'll be charged right away.
Here’s how the cost for the two seats is calculated:
Removing seats:
If you remove a seat from your plan, it remains active until the end of the billing cycle.
For example:
Suppose you're subscribed to the Startup plan on 13th March, which costs $348 per seat yearly.
Now let's suppose you have total 8 seats in your account, making your yearly payment $2784.
On May 10th, you decide to remove 2 users, but your billing cycle restarts on 13th March 2025.
Those 2 removed user seats will stay active until 13th March 2025.
Then, on the next billing cycle day (13th March 2025), you'll only be charged for the occupied seats in the next billing cycle and you will receive an invoice of $2088 ($348 per seat x 6 seats).
3. Business plan - Monthly subscription
Adding seats:
With a Monthly subscription, your plan renews every month
If you add more seats to your Business plan, we'll calculate the cost based on the time left in your current billing cycle and charge you accordingly.
For example:
let's say you bought a Startup plan on April 1st for $59 per seat per month with a minimum of 5 seats.
After 16 days, you added two new seats. We'll only bill you for the 14 days left in your billing period, and you'll be charged right away.
Here’s how the cost for the two seats is calculated:
In your next invoice, you'll notice an extra charge of $55 for the two new seats you added. After that, in the subsequent invoices, each seat will be charged at the full monthly price of $59 (59$*2 = $118), as mentioned in the example above.

If you remove a seat from your plan, it remains active until the end of the billing cycle.
For example:
Suppose you're subscribed to the Startup plan starting from April 1st, which costs $59 per seat monthly
Let's suppose you have total 8 seats in your account, making your monthly payment $472.
On April 10th, you decide to remove 2 users, but your billing cycle restarts on May 1st.
Those 2 removed user seats will stay active until May 1st.
Then, on the next billing cycle day (May 1st), you'll only be charged for the occupied seats in the next billing cycle and you will receive an invoice of $354 ($59 per seat x 6 seats).

4. Business plan - Annual subscription
Adding more seats:
With an annual subscription, your plan renews every 12 months.
If you decide to add more seats to your Business plan, we'll calculate the cost based on the remaining time in your current billing cycle and charge you accordingly.
For example:
Let's say you purchased a Business plan on March 13, 2024, for $49 per seat per year (with minimum 5 seats), totaling $2940 ($49 x 5 x 12).
Then, on May 11, 2024, you added two more seats to your annual plan.
Since the price for each seat on your yearly plan is $588, you'll be charged a prorated amount for the period from May 11, 2024 to March 13, 2025.
We'll only bill you for the 306 days left in your billing period, and you'll be charged right away.
Here’s how the cost for the two seats is calculated:
Removing seats:
If you remove a seat from your plan, it remains active until the end of the billing cycle.
For example:
Suppose you're subscribed to the Business plan on 13th March 2024, which costs $49 per seat per year (with minimum 5 seats), totaling $2940 ($49 x 5 x 12).
Let’s suppose now you have total 8 seats in your account, making your yearly payment $4704.
On May 10th 2024, you decided to remove 2 users, but your billing cycle restarts on 13th March 2025. Those 2 removed user seats will stay active until 13th March 2025. Then, on that day, you'll only be charged for the occupied seats in the next billing cycle and you will receive an invoice of $3528 ($588 per seat x 6 seats) per year.
Downgrade Billing Plan
When you downgrade from a Business plan to a Startup plan, you'll retain access to the Business plan features until the end of your current billing period.
However, you won't be charged for the Business plan upon renewal.
For example:
Suppose your Business plan yearly billing cycle started on April 1, 2024.
If you downgrade to a Startup yearly plan on May 1, 2024, you'll continue to enjoy all Business plan features until your cycle ends on April 1, 2025.
On April 1, 2025 your plan will be downgraded
Any additional seats added during your Business plan subscription will be charged at a prorated rate based on the Business plan's yearly pricing.
Upgrade Billing Plan
If you choose to upgrade your plan from Startup to Business, you'll gain immediate access to all features upon payment. The cost will be prorated based on your current billing cycle.
For example:
You initially subscribed to the Startup monthly plan with 2 seats, costing $72 per month, starting on April 1, 2024.
On April 15, 2024, you decided to upgrade to a Business yearly plan, which requires a minimum of 5 seats.
We calculate the remaining amount of the current plan, which, in this case, is 15 days into the billing cycle. So, the prorated charge amounts to ($72 / 30 days) * 15 days, equaling $36.
The total cost for your Business yearly plan will be $2940. Subtracting the prorated amount ($36) from this, you'll be charged $2904 on April 15, 2024, at the exact time of upgrading your plan.

Switch billing plan:
Annual to Monthly
If you are on an annual plan and would like to switch to monthly, please contact us and we will shift your plan to monthly. If you swap to monthly, you will retain your annual subscription until the end of your billing cycle. Your plan will be updated to monthly upon renewal. If you add a seat to your plan while you are still on annual plan, you will be charged a prorated rate for the remaining days based on annual plan price. If you wish to go back to the annual plan, you can do it anytime from the billing page.
Monthly to Annual
If you switch from monthly billing to annual plan, we will charge you a prorated amount based on what you have already paid on your monthly plan.
