Explore iClosed Global Data filters and how to use them so you could slice your data perfectly

Global Data is the central hub of your iClosed account, where you'll see all contacts and details about contacts that have interacted with your scheduler.

We've broken it down for you into four sections, all related to your events but with different views, depending on what is needed for you to focus on:

Contacts

Default Global Data home page, where you'll be able to see all of your contacts, and from where you can see all details about their lead stages.


Appointment Setting

Everything a call setter would need in one place, that helps him ensure all important meetings are booked with the sales team.


Calls

Section where you can see all about your calls, including call details.


Deals

The money-screen as we call it, with all details about closed deals.

Additionally, you can access Transactions from this page (if you've connected Stripe with iClosed, or any other payment processor via Zapier or Make)


Each section inside the Global Data comes with different default columns with it's data, for you to easier see relevant data according to the section you're currently on.

But in case you would like combine data that is available inside of different sections, with the section you're on currently, you can do that easily with Global Data - Filters.


Filters - overview

Here's a quick overview of all filters available.
Navigate to Global Data and select any of the sections where you would like to apply Advanced Filters, and click on the "Add filter" button to open Filter menu.

No matter the section you're on, filter button will remain on same position for you to find.


Available Filters

Here's the list of available filters for you to utilize. We'll cover each and every one of them in the next section of this article.

Contacts

general contact related information, such as email, phone number, name, etc..


Appointment Setting

filters that are related to Appointment Setting section, such as current Setter, Claim/Assign date, etc...


Calls

filters related to calls, such as call creation date, call start date, etc...


Deals

filters closely related to Deals section, such as Closer owner, transactions, deals related data.


Events

data closely related to Events, such as event types, event names, location...


Contact Custom Fields

all Custom Contact fields that you've created in Tracking → Custom Fields → Contact fields


Event Custom Fields

all Event Custom questions/fields that you've created in Tracking → Custom Fields → Event fields (Invitee Saved Questions)

Tracking features are available with Business/Enterprise subscription plans.

Even though Startup plan users are able to create event custom fields from the Event Builder, Products and creating Contact Custom fields from Global Data or Tracking will not be accessible to them.

Tracking is accessible to Super Admin and Sales Manager roles by default.


Filter Types and Filtering Conditions

Conditions you can use when filtering data depend of the data format.

Example

For example, date data will have IS, BEFORE, AFTER, BETWEEN, while general, textual data will have CONTAIN or DOESN'T CONTAIN.

Same setup is applied to Custom fields. Here's the breakdown of conditions per data formats:

Text

  • IS → show exactly the same data as entered

  • Contain → show data that contains entered text

  • Doesn't contain → exclude everything that contains entered text


Checkbox and Radio buttons

  • IS → show data as entered/selected

  • IS NOT → show data opposite to entered/selected


Date

  • IS → to show data on exact date

  • IS before → show data before the selected date

  • IS after → show data after selected date

  • IS between → to show data in a date range


Time

  • IS less → Less than number added and selected time unit (minutes or hours)

  • IS greater → Greater than number added and selected time unit (minutes or hours)

  • IS equal → Exact as the number added and selected time unit (minutes or hours)


Number

  • IS less than → Less than the entered number

  • IS greater than → Greater than the

  • IS equal to → data exactly the same as the number


User

  • IS → show data for selected User

  • IS NOT → show all data, except for the selected User

Each filter type has it's respective icon, so you can understand easier which conditions could be applied to each filter on a glance.


Additional options

Search button on top of Filters helps finding filters you'd like to use easier.

Also, with Smart Views, you will be able to save filtered views, and customize your

Global Data sections, so you don't have to spend time setting up filters over and over again, every day. Learn more about Smart Views.


Filters - details

Contacts

Email

  • Select condition → Contain, Doesn't contain or IS

  • Enter email partially or completely depending of the condition selected


Phone Number

  • Select condition → Contain, Doesn't contain or IS

  • Enter number partially or completely depending of the condition selected


Name

  • Select condition → Contain or Doesn't contain

  • Enter name partially or completely


Initial Contact Status

  • Select condition → IS or IS NOT

  • Choose between options available, select one or multiple


Status last modified at

  • Select condition → IS, IS before, IS after, IS between

  • Select date (IS, IS before, IS after) or date range if IS between


Last interaction type

  • Select condition → IS or IS NOT

  • Choose between options available, select one or multiple


Closer owner

  • Select condition → IS or IS NOT

  • Select one or multiple Users from the list


Number of strategy calls booked

  • Select condition → IS less than, IS greater than or IS equal to

  • Enter number depending of the condition selected


Number of discovery calls booked

  • Select condition → IS less than, IS greater than or IS equal to

  • Enter number depending of the condition selected


Country

  • Select condition → IS or IS NOT

  • Choose between options available, select one or multiple


Time zone

  • Select condition → IS or IS NOT

  • Choose between options available, select one or multiple


UTM filters

  • Select condition → IS or IS NOT

  • Choose between options available, select one or multiple

Available filters are:

  • UTM Campaign

  • UTM Source

  • UTM Medium

  • UTM Content

  • UTM Term


Appointment Setting

Current Setter Owner

  • Select condition → IS or IS NOT

  • Select one or multiple Users from the list


Claim/Assign status

  • Select condition → IS or IS NOT

  • Choose between Claimed/Assigned or Unclaimed/Unassigned


Claim/Assign date

  • Select condition → IS, IS before, IS after, IS between

  • Select date (IS, IS before, IS after) or date range if IS between


Setting outcome

  • Select condition → IS or IS NOT

  • Select between options Approved, Rejected, Pending


Calls

Call creation date

  • Select condition → IS, IS before, IS after, IS between

  • Select date (IS, IS before, IS after) or date range if IS between


Call start date

  • Select condition → IS, IS before, IS after, IS between

  • Select date (IS, IS before, IS after) or date range if IS between


Strategy call outcome

  • Select condition → IS or IS NOT

  • Choose between options Sale, No Sale, Pending, select one or multiple


Strategy call no sale reason

  • Select condition → IS or IS NOT

  • Choose between options available or select one or multiple


Discovery call outcome

  • Select condition → IS or IS NOT

  • Choose between options Approved, Rejected, Pending, select one or multiple


Discovery call rejection reasons

  • Select condition → IS or IS NOT

  • Choose between options Not Interested, No Show, Bad Fit, or Other, select one or multiple


Closer owner

  • Select condition → IS or IS NOT

  • Select one or multiple Users from the list


Deals

Product

  • Select condition → IS, only available

  • Choose between options available, select one or multiple


Transaction type

  • Select condition → IS or IS NOT

  • Choose between options One time, Deposit or Recurring, select one or multiple


Income

  • Select condition → IS less than, IS greater than or IS equal to

  • Enter number depending of the condition selected


Sales

  • Select condition → IS less than, IS greater than or IS equal to

  • Enter number depending of the condition selected


Sale date

  • Select condition → IS, IS before, IS after, IS between

  • Select date (IS, IS before, IS after) or date range if IS between


Closer owner

  • Select condition → IS or IS NOT

  • Select one or multiple Users from the list


Deals source

  • Select condition → IS or IS NOT

  • Choose between options Stripe, Zapier, Make or Manually added deals, select one or multiple


Events

Event Type

  • Select condition → IS or IS NOT

  • Choose between options Strategy or Discovery, select one or both


Event

  • Select condition → IS or IS NOT

  • Choose between Events created available, select one or multiple (if there's more than one created)


Location

  • Select condition → IS or IS NOT

  • Choose between Phone call, Google Meet or Zoom, select one or multiple


Duration

  • Select condition → IS less than, IS greater than or IS equal to

  • Enter number depending of the condition selected

  • Choose time unit, between Minutes and Hours


Contact Custom fields

As many Contact Custom fields created in Tracking → Contact fields, as many you will be able to see here.

Conditions for the custom fields will depend of the field type and format.

Additional filtering options

Once you select and apply filters for a specific section you've selected, bear in mind that you'll have several additional options in your Global Data screen.

Check out additional options

  • Click on the arrow next to filters to show or hide filters selected

    • Arrow pointing down shows filters selected

    • Arrow pointing to the right hides them

  • Quick switcher between filters selected. If filters are shown, you will be able to easily switch between:

    • All of A and B for the selected filter or

    • Any of A and B for selected filter

  • Filters selected will stay on your Global Data even if you switch between sections (Contacts, Appointment Setting, Calls and Deals)

  • Edit filter → hover over filter shown and click on "Pencil" button to edit

  • Remove filter → hover over filter shown and click on "x" button to remove

  • Add filter → hover over filter shown and click on the "+" button to include more filters

  • Wrap in group → gives you additional level of filtering

  • Additional ADD/OR conditions for filters selected

  • To reset all filters completely and get back to default Global Data section view, click on the "x" button next to Filters button on top

  • Save Filters → by clicking on the "Save As" button on top right of your screen
