How are prorated charges calculated after upgrading an account

Whether you're subscribed to Startup or Business/Enterprise subscription plan, our billing policy ensures that you have control over your subscription and can make necessary adjustments at any time.

  • Subscription Pricing and Seats
    Your subscription price is closely tied to the number of seats you add to your plan. Our Business plan requires a minimum of 5 seats, ensuring scalability for growing teams.

  • Billing Cycle

    At the beginning of every billing cycle, you'll receive a consolidated invoice for your subscription plan, with all details about the number of seats, changes made and associated charges.

Your credit or debit card is automatically charged at the beginning of every billing period, which calculates from the date when you signed up for iClosed account, renewing on the same date every next month, monthly or yearly, ensuring seamless payment processing and consistent access to your account.


How are pro-rated charges calculated when upgrading to higher tier

If you choose to upgrade your plan from Startup to Business, or from Business to Enterprise, you'll gain immediate access to all features upon payment.

The cost will be prorated based on the upgrade date in your current billing cycle, calculating automatically what you've paid in total at the beginning of the billing cycle, and adding higher tier costs for the number of days you'll use higher tier during the billing cycle.

Upgrade from Startup (monthly) to Business (monthly)

Example

Startup customer signed up on Aug 1st, 2024, and initiated upgrade to Business plan on Aug 20th.

There are 10 days left in the current billing cycle, and will use Business subscription plan immediately after the upgrade from Aug 20th.

Prorated cost will be $87 for the remaining 10 days left in the current cycle.

Upcoming subscription invoice on Sep 1st, 2024. will be on full Business plan amount, $297/mo.


Upgrade from Business (monthly) to Business (yearly)

Example

Business customer signed up on Aug 1st, 2024, and initiated billing cycle change from Monthly to Yearly on Aug 20th.

There are 10 days left in the current billing cycle, what the customer paid at the beginning of the cycle, and Yearly subscription prorated charges will be recalculated immediately, and will set Aug 20th, the day of the upgrade, as the new billing cycle date.

Prorated cost for Business monthly not used, but paid on Aug 1st will be $99 for the remaining 10 days left in the current cycle. And therefore, the total upgrade charge to yearly Business plan will be deducted by $99.

Upcoming subscription invoice will be set to Aug 20th, 2025., for the full
Business yearly plan amount, $2940/year.


Prorated charges when adding seats

Here's a couple of different examples, that include seats only, with and without changing the plans.

Startup (monthly) adding 1 additional seat

Example

Startup customer, on a monthly billing cycle, signed up on Aug 1st, 2024, but added 1 additional user seat on Aug 20th, at $36/mo.

There are 10 days left in the current billing cycle, and what's already paid with Startup (1 seat) will be deducted from the price of 2 Startup seats.

Prorated cost will be $12 for the remaining 10 days left in the current cycle for a Startup plan with two user seats.

Upcoming subscription invoice on Sep 1st, 2024. will be Startup 2 Seats plan amount, $72/mo.

Note:

Whenever you decide to remove a user seat, on all plans, and any billing renewal terms, your seats will remain active in the iClosed account until the end of the billing cycle, since you already paid for it.

Therefore, your upcoming subscription invoice will still show

  • full number of seats as you had after the last upgrade,

  • until 1 hour before subscription renewal time,

  • when iClosed will remove all empty seats from the invoice, and

  • charge your credit card per actual number of seats for the upcoming month.


Upgrade from Startup (monthly) to Business (yearly)

Example

Here's a bit more complex case. Customer initially subscribed to the Startup monthly plan with 2 seats, costing $72 per month, starting on April 1st.

On April 15th, customer decided to upgrade to a Business yearly plan, which requires a minimum of 5 seats.

We will calculate the remaining amount of the current plan, which, in this case, is 15 calendar days into the billing cycle.

Therefore, the prorated charge amounts to ($72 / 30 days) x 15 days, equaling $36.

The total cost for your Business yearly plan is $2940/year.


Subtracting the prorated amount ($36) from the Business yearly price ($2940), will equal $2904, for the upgrade charges on April 15th, 2024.

Upcoming renewal date will be on Aug 15th, 2025, at the exact time of the plan upgrade.
