Learn everything you need to know on how to create and manage Contact Custom fields from Tracking menu

Custom Contact Fields help you create mini to-do checklists for yourself or your team members, or for any additional information you need to have about the lead on the file, while avoiding to oversaturate scheduler form, and more importantly to avoid getting them overwhelmed on the entry.

Custom Contact fields are for internal use only, and used in Global Data, within all sections. This means that every Contact Custom field created will be available for adding as a column in Global Data.

Business/Enterprise plan accounts, have the Contact Custom fields options available.

To create, manage and save in Tracking menu. This additional menu helps you with full overview of all created contact custom fields, ensures you're not adding duplicates.


On top of that, you will be able to see data from Custom Contact Fields in

Global Data columns, to filter them and analyze your data in more detail.


Overview

Access contact fields via Tracking → Custom Fields → Contact Custom Fields and you will be able to see following information:

  1. Contact Custom Field name

  2. Date when the field has been created

  3. Use Count refers to number of times the field has been used

  4. Edit field option for updating all information inside the field, except the field type

  5. To hide or unhide field

Alternatively, you can create custom fields from on "Add column" on far right of the

Global Data → Contacts page, but we highly recommend doing it from the

Trackingmenu, where you can see already created contact fields, which will help you avoid creating duplicates.

Important Notes

Tracking → Custom Fields is accessible to Super Admin and Sales Manager roles by default.

Also, kindly note that there's no "delete custom field" option, since it's important to keep all of your historical data intact.
You can remove fields by simply hiding them or unhiding back in case you decide to use them again.

Available field formats

Short text

Perfect for short internal comments or comments about the lead


Long text

Excellent for internal feedback from Sales Manger to team members, on how to improve, which tactics to apply on the upcoming call, and vice versa, etc...


Checkbox

Very convenient for internal to do lists or lists of takeaways host cross-checked about the lead.

Contact Custom field checkbox come with additional options, to select the color of the options.


Radio button

Allows the user to choose only one of a predefined set of mutually exclusive options.
Contact Custom field radio buttons come with additional options, to select the color of the options.


Date and time

Good for collecting personal data about leads/customers, such as birthdays and anniversaries.


Number

Excellent options for placing data in Number format, such as how much a lead spends similar products, etc...


User

Can have multiple selection. Perfect for assigning and reassigning Users / Hosts for Appointment Setter to know who would be the best Closer for the specific Lead.


How to create Custom Contact field?

  1. Navigate to Tracking → Contact Custom Fields and click on the "New Contact Custom Field" button

  2. New window will open from which you can select Field format type

  3. Once you select it, add Field name

  4. if field types are Checkbox or Radio buttons type, you will be able to add Name and Color of the options, that will be available for you in the Global Data

    1. Add up to 10 options


How to edit Custom Contact field?

  1. Navigate to Tracking → Contact Custom Fields and locate the field you'd like to edit

  2. click on the "Pencil" button on the far right of your screen

  3. New window will open from which you can edit

    1. Field name

    2. Field options name (if radio button or checkbox field types selected)

  4. Once you're done with editing, simply click on the "Edit field" button


How to include already created custom contact field in Global Data?

  1. Navigate to the section inside Global Data → any section

  2. Click on the "Columns" button on the top right of the section

  3. Locate Custom Contact Fields and click to expand available columns

  4. Select desired Contact Field

  5. Locate the added Contact custom field on the Global Data section you're currently on

  6. Start adding data by clicking on the cell in the row for the specific lead

    1. Adding options will differ depending on the Contact Custom field


How to filter our Custom Contact field in Global Data?

Additionally, you can filter out data per Contact custom field, from any section inside of Global Data

  1. Navigate to the section inside Global Data
    (in the example below, we've selected Calls section)

  2. Click on "Add Filter" button

  3. Select Custom Contact fields and choose the field you'd like to filter out

    1. Choose between filtering conditions

  4. Click on the "Apply Filter" button and see data on your screen
