How to connect Hyros with iClosed

Here're the steps on how to connect Hyros with iClosed:

  1. Click Connect button and you're done

The button will lead you directly to the Hyros integration page inside of iClosed for further mapping configuration.

Alternative - via API key

Alternatively, you can connect iCosed by generating the API key:

  1. Navigate to Hyros → Settings → Profile and select Api-keys section

  2. Create new API key, name the API key and save

  3. Copy newly created API key and navigate back to iClosed Integrations page

  4. Click on the "Connect" button to access Hyros integration page

  5. Select the "Integrate" button and paste the key in the Hyros API key field

  6. Click on the Test API key button and after receiving confirmation message, complete integration by selecting "Confirm" button

Configuration and data mapping

After integration is connected, first next step is to choose Events from iClosed that you'd like to track in Hyros.

This is the first step where you will be able to configure from which events you'd like data to be sent from iClosed to Hyros

Contact creation

Select iClosed trigger:

  • Potential - Didn't fill the form completely

  • Qualified - Filled out the form completely

  • Disqualified - Filled out the form completely but was prevented from booking a call as per your criteria

Map out Hyros lead stages for every trigger selected in iClosed.

In case you'd like to create additional lead stages in Hyros, feel free to create them and newly created field will appear on the dropdown.

Pro tips

Email of the lead is required for Hyros to create contact.


Whenever a call is booked, iClosed will send updates to Hyros in real time. Lead will start as Potential, then Qualified before a call is booked, as it's a last lead journey stage on the scheduler before booking a call.

Pro tips

In case you have Hyros script running on the call confirmation page, you have nothing to be worried about. The direct integration prevents duplicates via an externalCallId parameter sent to the call confirmation page URL.

As long as forwarding of the event parameters is enabled in iClosed, Hyros system will detect identity properly and prevent duplicated call entries.

Strategy call outcomes - Sale

Strategy sale outcome will trigger every time when a sale outcome is added or edited.

This trigger comes with additional options for Deposit payment type, allowing you to choose tracking options:

  • Only update Call status in Hyros

    If this option is selected, deal added in iClosed will not be sent to Hyros.
    Only call status will be updated to Qualified

  • Send iClosed deal data to Hyros

    If this option is selected, deal added in iClosed will be added to Sales Tab in Hyros and call status will be updated to Qualified

Data transferred to Hyros

Leads section & Lead detail

iClosed contact captured - Potential, Qualified, Disqualified, Call booked

Main Leads section

Lead will be created only once email is captured, and the lead in Hyros will have following information mapped for this contact status:

  • Name

  • Email

  • Phone number

  • Joined on = date when the lead was captured by iClosed and sent to Hyros

  • Stage = iClosed lead status Potential, Qualified, Disqualified and Strategy or Discovery Call booked

  • Tracked URL = as the URL from where the lea

Lead details

  • Journey:

    • Lead joined date along with tag = iclosed

    • Stage a lead reached to = as per iClosed lead status (Potential, Qualified, Disqualified, Strategy or Discovery call booked)

  • Info:

    • All the contact information about the lead such as Name, Email, Phone, Joined date and time, Stage

  • Purchases = Event name, if the call is booked and when Sale outcome is added (Product name created in iClosed and deal value entered)

  • Clicks = From you webpage where Hyros script is or if URL is tracked, including:

    • tracked URL

    • Page

    • Previous URL

    • Parsing

    • Agent

    • Source

  • Email, Phone number and IP section with respective data


Calls section

iClosed call booked

Data will show in this section only of the call is booked:

  • Date = call creation date and time

  • Name = event name

  • Lead = lead email

  • Lead name = full name of the lead

  • Status = Not sent by default

  • Info = mapped out as follows Hyros status = iClosed status

    • Qualified = Call booked, Sale outcome added, Approved outcome, No Sale - Follow up scheduled

    • Unqualified = No Sale - Unqualified or Not Interested, or any Rejected outcome except cancelled and no show

    • Cancelled = Call cancelled by admin in iClosed or invitee

    • No show = No Sale outcome/Rejected outcome → No Show reason


Sales section

Call Outcome - Sale

Data will show here whenever a Call outcome - Sale is added:

  • Date = Outcome date and time added

  • Name = Product name selected in iClosed

  • Price = Deal value added with Sale outcome

  • Lead = lead email

  • Lead name = full name of the prospect

  • Status = Not sent by default

Pro tips

Kindly note that only original Sale outcome added in iClosed will be sent to Hyros. This means if the outcome is edited in iClosed, transaction order wont update in Hyros and you would need to update it manually or via Zapier automation.


Additional integration sections

Here're additional options that you can find on the Integrations → Hyros page:

Logs

On this page you'll see detailed logs with all lead records since the integration is connected:

  • Trigger = from iClosed (e.g. Contact created, Sale created, call booked, etc...)

  • Trigger status = as per trigger fired (e.g. if call booked, is it Discovery or Strategy call)

  • Contact email = lead email

  • Phone number

  • Event = as iClosed event name where the trigger was fired

  • Data and time = of the trigger

  • Trigger status = success or failed

You can additionally filter logs per Time Period, Events in iClosed and Trigger.

Pro tips

For both trigger statuses, you'll see detailed log with payload sent, and response from Hyros.


Editing and disconnecting integration

Editing of the integration is available at all times. Just make sure to hit the save button whenever you make updates.

Additional options available are to deactivate integration (keeps it off, without disconnecting it) or to disconnect integration that would remove API key and all integration logs collected so far with it.
