Tutorial about getting to know everything about upcoming scheduled calls

Upcoming Calls tab is the default landing page once you click on AI Scheduler β†’ Scheduled Calls. It's the page where you'll be able to see all of the upcoming calls with your leads/invitees that are scheduled, sorted by date and time by default.

From Upcoming calls you can perform the following actions:

  • View call and contact details

  • Cancel a call

  • Reschedule a call


Viewing call details

On the scheduled call card, you will be able to see the following

  • Call time

  • Invitee name

  • Host name

  • Event name

  • Event type

  • In case Zoom is not integrated or Google Calendar not connected, it will show red badge "Action Required" , meaning that the host needs to send link manually

If you want to view more details about a call, simply click on any of the scheduled call and the details will open in a dropdown.

  • You can view the invitee details as well as event details like Google Meet link or Zoom link

    • In case Zoom is not integrated or Google Calendar not connected, it will show red badge "Action Required" , meaning that the host needs to send link manually

  • You can view the answers to all the invitee questions

  • You can access the Contact Card by clicking on the invitee email

  • You can cancel or reschedule a call


Cancelling an upcoming call

  1. Open Call you would like to cancel

  2. Click on the "Cancel" button

  3. New window will appear to confirm and add notes, reason for cancelling

  4. If added, cancellation information will appear next to the call, including information on who cancelled the call

  5. Cancelled calls will be automatically hidden and can be seen after applying filters (explained in Filtering Calls section bellow)


Rescheduling an upcoming call

Note: If rescheduling is allowed in Event Time & Limits, 'Reschedule' button will be shown and vice versa.

Here's how you can reschedule a call:

  1. After clicking the "Reschedule" button, new window will appear where you'll be able to choose new Host, by selecting one of the two options available:

    1. Round Robin β†’ The call will automatically be scheduled according to the Event Priority

    2. Select Manually β†’ Select a Host to whom you want to assign the call

  2. After selecting a Host, booking page will open, from where you can select new date and time of the event

  3. Reschedule confirmation message will appear

  4. And you'll be able to see new date and time of the rescheduled event, with additional information who rescheduled the call


Filtering Calls

Filters can be applied to Upcoming and Past calls both.

Filter options differ between user permissions. By default, Super Admins have all filters and options within filters available, while Users (Closers) have limited filter options.

Navigate to "Filter Applied" button from the Scheduled Calls page, and filters available will show. Select preferred filter, and choose specific option within it.

Feel free to use same approach for filtering out Scheduled or Rescheduled calls only.
