How to set my availability when I'm unavailable for several days or when I'm on vacation?

Learn how to exclude hosts during their vacations, holidays or any other out of office day

iClosed Date override feature helps you to set date or dates specific availabilities, without changing the Availability setup.

Pro tips

Users, without super admin permissions will be able to set and manage their own Availability-Date override only.

Super Admin and Sales Managers will be able to switch the Availability between Users by selecting a user from the AI Scheduler filter on top.

To access Date override, navigate to AI Scheduler → Availability, and follow the next steps.


Setting up specific availability for a specific day

  1. Click on the "Date override" button on the top right of your Availability pane

  2. Select date and set hours you will be available for these specific dates

    1. If you'll be out of office for just a couple of hours, set hours you'll be available only

    2. But if you'll be out for the whole day, please block off the whole day in the Google Calendar connected with iClosed. Setting Busy on the calendar will automatically prevent you from receiving slots for for all Events you're hosting.

As soon as you add Date override, your specific availability will prioritize over standard availability, without the need to change the actual availability.

Example - available for several hours only during the standard day

Taking a half day off next Thursday and Friday for some last-minute shopping?

For example, if your standard work schedule is from 9am to 5pm, but you need to be out of office from 11am to 2pm on next Thu.
Click on Data override and select the date and set two blocks of availability for this specific day.

  • Set 1st block = 9am to 11am

  • Set 2nd block = 2pm to 5pm

The system will prioritize Date Override for this specific date, over your default Availability, while all the other dates will be prioritized by your default availability.


Setting up longer availability blocks

for vacation time, holidays or any other reason for having a team or a team member out for a longer period of time

  1. Ask a user (or all users if it's holiday time) to block off the whole day (or days) in their Google Calendars connected with iClosed

  2. As soon as such slots are added, iClosed will see users as unavailable for the date/s set in calendar, which will prevent leads from scheduling calls on selected dates

The Blocking availability for specific days is on our product roadmap, but until we have it live, please use the above explained workaround.

In case you do have members that will be available for taking calls during holidays, do not tell them to block of their Google Calendars for these specific dates.
Instead, just leave their current availability or use the Setting up specific availability for a specific day if they will be on the watch for specific period of time during the holiday.

If you are a user with Super Admin or Sales Manager permissions, once specific days are blocked in Google Calendar, navigate to the AI Scheduler → Events and test out a couple of calendars by clicking on View booking page, and starting the Live scheduler troubleshooter (learn more here).
