Why my user (Closer / Setter) is not receiving calls?

Or why one of the event hosts is not getting calls scheduled?

There are several reasons why your host may not receiving scheduled calls. Here's how you can troubleshoot events and


Live scheduler troubleshooter

The best way for troubleshooting specific Events is utilizing the Live scheduler troubleshooter (learn more here).

  1. Find the Event you would like to troubleshoot and click on "View Booking Page" button

  2. Start "Troubleshooting Event" by clicking on a button on your scheduler and go over all availability information

Alternatively, you can follow below steps, that are a shorter version of the
Troubleshooting guide for Super Admin.


#1 Primary setup

Just to make sure minimum technical requirements are in place for your host (closer/setter).

  1. Check if the host has:

    1. Accepted invite to iClosed

    2. Connected calendar with iClosed

    3. Availability set

In case all three are confirmed, head to the next step.


#2 Troubleshooting Availability

Now it's time to troubleshoot availability in AI Scheduler → Availability.

  1. Check if the Event is deactivated from your Availability

  2. Check the proper time zone is set

If all is good, let's move forward:

  1. Select user for which you would like to launch troubleshooter from the drop down list

  2. Hit "Launch troubleshooter" button

  3. Select Events you would like to troubleshoot

    1. leaving "All Events" - set by default or

    2. selecting a specific Event

  4. Or change dates to troubleshoot your availability for a specific date

  5. hit "Apply" button

You'll see following details:

  1. Day Start and Day end hours

    1. Those are the hours set in the left side

    2. The report will show you calendar events that are impacting your availabilities

  2. Meeting participants

  3. Source of the blocked Availability

    1. iClosed: availability taken by an Event from iClosed scheduler

    2. Calendar: availability blocked by Google Calendar Events, placed outside of iClosed

  4. Event details → picked up from the iClosed Event name

Also, check if the user has the Date override set for the specific date.

In case it is, Date-specific availability is highest in the hierarchy and will override availability and event setup.


#3 Event setup review

Hosts review

Check if you've added host to the Event:

  1. Select the Event you would like to troubleshoot

  2. Click on the Hosts section and confirm User has been assigned to participate in the event.

  3. If yes, check the priority allocation. If the priority is set to Low, and there is no enough calls for all users, hosts with higher priority will be booked first

Conditional routing

Check if the Conditional routing set for your Event may be affecting your Host not to receive calls.

Event Time & Limits review

While you're still on Event setup review, navigate to "Event Time & Limits" section real quick and check following:

  1. if the scheduling limit set is affecting hosts availability for the current day and time → Guest cannot schedule within

  2. Check if the buffer times set are affecting your availability → Add time before and after an event

#4 Check if Automations → Rules are set

Navigate to AI Scheduler → Automations → Rules and check if there's a Rule set that is maybe blocking you to get more calls.
