Why my user (Closer / Setter) is not receiving calls?
Why my user (Closer / Setter) is not receiving calls?

Or why one of the event hosts is not getting calls scheduled?

Updated over a month ago

There are several reasons because of which your host may not be able to get calls scheduled. Here's the best way to troubleshoot and backtrack what may be the cause.

Start with Live event troubleshooter

The best way for understanding the actual reason on why your host is not being able to get meetings booked. The Live event troubleshooter is will provide you with the exact reason why your host is blocked which will point you to the right direction for fixing the problem.

  1. Find the Event you'd like to troubleshoot, and click on "View Booking Page" button

  2. Start "Troubleshooting Event" by clicking on a button on your scheduler

  3. And select specific date and see the reason your host is blocked for a specific slot

Once you identify the reason, navigate next to where the issue can be resolved. Example:

  • Event Duration = Time on the slot is too short for the host to take the call, because of the duration of the event.

  • Not Available = Host is not available for the selected slot time

  • Busy on Calendar = Host is being blocked by an event in the Google Calendar

Alternatively, you can follow the steps below, that are a shorter version of the
Troubleshooting guide for Super Admin.

Confirming that the primary setup

Make sure that the minimum technical requirements are in place for your host to be able to start taking calls (closer/setter).

  1. Check if the host has:

    1. Accepted invite to iClosed

    2. Has Availability set

In case both are confirmed, proceed to the next step.

Troubleshooting Availability

Navigate to AI Scheduler → Availability to start with troubleshooting.

  1. Check if the Event is deactivated from hosts Availability

  2. Check the proper time zone is set

If these two are good, check if the user has the Date override set for the specific date.

Date-specific availability is highest in the hierarchy and will override availability and event setup (see example below).

If you still haven't found an answer, proceed with troubleshooting as follows:

  1. Select user for which you would like to launch troubleshooter from the drop down list

  2. Hit "Launch troubleshooter" button

  3. Select Events you would like to troubleshoot

    1. leaving "All Events" - set by default or

    2. selecting a specific Event

  4. Change dates inside the troubleshooter to check availability for a specific date and click on the "Apply" button to confirm

You'll see following details:

  1. Day Start and Day end hours

    1. Those are the hours set in the left side

    2. The report will show you calendar events that are impacting your availabilities

  2. Meeting participants

  3. Source of the blocked Availability

    1. iClosed: availability taken by an event from iClosed scheduler

    2. Calendar: availability blocked by Google Calendar event

  4. Event: name of the event from iClosed or Google Calendar

Event setup review

Hosts setup review

Check if you've added user to be the host of the event:

  1. Select the Event you would like to troubleshoot

  2. Click on the Hosts section and confirm User has been assigned to participate in the event.

  3. If yes, check the priority allocation. If the priority is set to Low, and there is no enough calls for all users, hosts with higher priority will be booked first

Conditional routing

Check if the Conditional routing set for the event may be preventing your host to receive calls.

Event Time & Limits review

While you're still in Event setup, navigate to "Event Time & Limits" section real quick and check following:

  1. if the scheduling limit set is affecting hosts availability for the current day and time: Guest cannot schedule within

  2. Check if the buffer times set are affecting your availability: Add time before and after an event

Check if Automations → Rules are turned on

Navigate to AI Scheduler → Automations → Rules and check if there's a rule set that is maybe blocking the host to get more calls. Check in depth which users are affected, by clicking on the Rule to show more details.
