Learn all about how to create and manage Custom fields in iClosed

The Objects and Fields section is a place where you can create form questions or mini to-do checklists for yourself or your team members or fields for entering any additional information you'd like to add about the lead.

It is a centralized hub for managing all custom data structures across your iClosed workspace, split into separate tabs:

  • Invitee Questions

  • Contacts

  • Calls

  • Deals

  • Events and

  • Users

Any Custom field created will be available for you to add it as a column in Global Data.

Objects & Fields are available with Business and Enterprise subscription plans along with other Tracking features (learn more about pricing and feature breakdown here).


Invitee Questions Fields

The Invitee Questions tab provides a dedicated view of all event custom fields (form questions) that appear on your scheduler forms.


Unlike other object tabs that show system and custom fields together, this tab focuses exclusively on the questions your prospects answer when booking appointments.

Each invitee question displays additional context through the columns, such as:

  • "Used In"

    • shows which specific events currently include that question.

  • Type

    • displays the field format (Short text, Single Select, Multiple Select, etc.).

  • Identifier

    • unique keyword used for integrations, pre-population, and API connections (e.g., {{call.fieldname}}).

  • Created at

    • The date when the custom field was originally created.

  • Use count

    • Shows how many times the field has been populated with data across all records.

This visibility helps you understand field dependencies before making changes and lets you edit questions that are actively collecting lead data. You can also edit or merge existing questions and update their field type, name or identifier.

Available field formats

Short text

good for short text entries, such as "Your current position in the company"


Long text

excellent for capturing detailed information from the lead, such as "Describe your current sales process" - up to 1500 characters


Multi-select

for answers with multiple selected options you've created for a lead to select, for example "What do you expect to improve with our service - select all that applies", with up to 20 answers in a single question.


Single-select

for single options to be selected, according to the predefined options set, such as "Company size", with up to 20 answers in a single question.


Date and time

for date/time entries, such as "Select year of birth"


Number

for collecting information that you need in numbering format. For example "Enter your current net revenue"


URL

for website or social network account information. For example "Company website"


Contact & Calls Custom Fields

Custom contact and calls fields is an iClosed feature designed to help you create mini to-do checklists for yourself or your team, or to add any additional details you need about a lead. Here's the breakdown of available actions and information on the page:

  • Contact custom field name

  • Date when the field has been created

  • Use count refers to number of times the field has been used

  • Edit field option for updating all information inside the field, except the field type

  • Option to hide or unhide the field from Global Data

Alternatively, you can create custom field from Global Data → scroll to the far right of the section and click on Add column button.

Custom contact fields are for internal use only, and used in ​Global Data - Contacts and Calls section, available for you to add it as a column.

Available field formats

Short text

Perfect for short internal comments or comments about the lead.


Long text

Excellent for internal feedback from sales manger to team members, on how to improve, which tactics to apply on the upcoming call, and vice versa, ...


Multi-select

Very convenient for internal to-do lists, or lists of takeaways host cross-checked with the lead during the call.


Single-select

allows the user to choose only one of a predefined set of mutually exclusive options.


Date and time

Good for collecting personal data about leads/customers, such as birthdays and anniversaries.


Number

Excellent options for placing data in number format, such as how much a lead spends similar products, etc...


User

This field format can have multiple selection.

Perfect for assigning and reassigning Users/Hosts for appointment setter to know who would be the best closer for the specific lead, etc...


Rating

This field comes with predefined stars. You can choose max number of stars between 3 and 5.

Pro tips

Delete and merge options are not available, but you will be able to hide a field, to prevent to appear in the Global Data (learn all about Contact Custom fields here).


Objects & Fields Actions Available

How to create any custom field

  1. Navigate to Tracking → Contact Custom Fields or Tracking → Calls Custom Fields and click on the "New Field" button

  2. New window will open from which you can select Field format type

  3. Once you select it, add Field name

  4. if field types are Single Select or Multi-Select type, you will be able to add Name and color of the options, that will be available for you in the Global Data (you can add up to 10 options)


How to edit a custom field

  1. Navigate to Tracking → Contact Custom Fields or Tracking → Calls Custom Fields and click on the three dots on the far right of the screen

  2. click on the "Edit" button on the far right of your screen

  3. New window will open from which you can edit

    1. Field name

    2. Description

    3. for Single and Multi Select field options, you will be able to change order of options, color and to hide or unhide options

  4. Once you're done with editing, simply click on the "Save changes" button


How to include already created custom contact field in Global Data?

  1. Navigate to the section inside Global Data → any section

  2. Click on the "Columns" button on the top right of the section

  3. Locate Custom contact fields and click to expand available columns

  4. Select desired Contact field and locate the added Contact custom field on the Global Data section you're currently on

  5. Start adding data by clicking on the cell in the row for the specific lead
    (adding options will differ depending on the Contact custom field format)


How to filter our Custom Contact field in Global Data?

Additionally, you can filter out data per Contact custom field, from any section inside of any of the sections in Global Data:

  1. Navigate to the section inside Global Data
    (in the example below, we've selected Calls section)

  2. Click on "Add Filter" button

  3. Select Custom contact fields and choose the field you'd like to filter out
    (choose between filtering conditions)

  4. Click on the "Apply Filter" button and see data on your screen
