Pipelines

Track your entire sales funnel in Kanban view and act on leads throughout your entire sales process easier

iClosed Pipelines provide a full board view to manage every prospect as they move through your funnel, helping your team members to stay aligned on deal flow and revenue targets at any given moment.

Pipelines are available on all subscription plans, but the number of pipelines is locked to:

  • Startup: 1 Pipeline

  • Growth: up to 3 Pipelines

  • Business: up to 10 Pipelines


Intro

Pipelines section appears in the left-side menu of the Global Data as a dynamic variation of the Contact Stages, in a Kanban view, where contacts are automatically grouped and filtered based on the Contact Stages you've defined in Settings → Tracking → Contact Stages.

Every account starts with one predefined Pipeline named Contact Stage.


Pipelines - Left-Side Menu

The left-side menu in Global Data will show you all the Pipelines that you've created (depending of the subscription plan you're on of course).

Create New Pipeline

Follow these steps to build your custom Kanban board. Click on the "+" button to start (available on Growth and Business subscription plans).

Once you do, Pipeline creator window will appear where you will be able to configure the Pipeline appearance and accessibility you want to create:

  • Pipeline name: type a clear, descriptive name for your new Kanban view

  • Privacy:

    • Collaboration - default permission - share the pipeline view with your entire team

    • Keep it private - Restrict the view so only you can see it

  • Group by:

    • Scheduling Status - Group cards by your scheduling statuses (e.g., Potential, Strategy Call Booked, Discovery Call Booked).

    • Contact Stage - Group cards by your workspace stages (e.g., New Lead, No Answer, Approved).

  • Kanban columns preview:

    • The system automatically turns each unique value from your selected data field into a dedicated column on your board (e.g., Potential, Qualified, Disqualified, etc.)

    • Each value in the selected field becomes a column in your pipeline

    • You can add up to 5 columns

Hit "Create view" button and your Pipeline will show on the left side menu.


Additional Pipeline Configuration Options

You can easily manage, modify, and customize Pipelines directly from the left sidebar under Global Data.

Click the three dots button next to any Pipeline name and Privacy icon to open a menu of additional configuration options:

  • Privacy: Change your pipeline’s visibility at any time. You can switch a view from private to team collaboration or vice versa.
    Locking the Pipeline prevents any unwanted edits to the Pipeline configuration.

  • Duplicate: Quickly clone an existing pipeline structure so you can apply the same column configurations to a new workflow without starting from scratch.

  • Rename: Update the title of your pipeline instantly to keep your workspace organized as your strategy evolves.

  • Delete: Remove outdated or unused pipelines to keep your sidebar clean (subject to your plan's active pipeline limits).

  • Copy Link: Generate a direct URL to a specific pipeline view, making it easy to share exact boards with team members for quick collaboration.

  • Set as Default: Choose your primary pipeline view so it automatically loads every time you open your Global Data dashboard.

Pro Tips

Only one Pipeline can be selected as a default one, and once its selected, the home icon will appear next to the Pipeline name.


Pipelines - Top Action Bar

The top bar of your Pipeline dashboard gives you complete control over how data is displayed, filtered, and organized.

Using these actions, you can tailor your Kanban view to match your specific workflow requirement:

  • Group by - Click this dropdown to quickly change the vertical columns of your board based on your sales criteria.

    • You can toggle between:

      • Scheduling Status - to group by iClosed contact statuses or

      • Contact Stage - to group by your stages

  • Add filter - Drill down into specific segments of your pipeline.

    • Open the filter menu to isolate lead lists using custom data points across Contacts, Deals, Calls, Events, or validation categories

  • Contact Creation Date Picker - Filter the visible cards based on contact created date.

    • Choose from quick presets like Today, 7 Days, or 30 days, or use the interactive calendar to map out custom date ranges

    • Bear in mind that the contact creation date is the date when a contact is created, not the date when the contact has interacted with the scheduler for the last time

  • Fields Toggle List: Clean up your Kanban cards by hiding or showing data fields

    • You can toggle switches on or off to choose what shows up on the card (like Phone number or Scheduling Status), drag fields to reorder them, or use Unselect all to clear out card clutter completely.


Pipelines - Mini-Cards

The pipeline metrics cards provide a real-time summary of your sales engine's health and overall efficiency across all-time timeline. These stats help you track revenue recovery and team responsiveness automatically:

Recovered pipeline

Displays the total financial value of leads that were previously inactive or unresponsive but were successfully re-engaged through automated follow-up workflows.


Speed to lead

Tracks the average time elapsed between when a lead first messages your workspace and when they receive their very first reply across all channels like Gmail, Instagram, and WhatsApp.


Deals closed

Shows the net number of prospects successfully converted into closed sales within the pipeline view.


Time saved by disqualification

Measures the estimated hours saved by your team by automatically filtering out unqualified leads before they ever reach manual sales assignment.

The Kanban board adapts instantly to how you choose to structure your data, creating a dynamic workspace:


Columns Explained

Dynamic Columns

As explained above, the columns generated on your board change dynamically based on your "Group by" selection, per Contact Stage or by Scheduling Status.

Columns will be sorted from left to right depending on the Group By selection:

  • Contact Stage → as per contact stages order in the account Settings menu

    • Active first

    • Followed by Lost and

    • then Won

    • and there will be a column with no status - Empty, for the leads that haven't interacted with iCloesed scheduler yet (created in Unified Inbox) at the very end.

  • Scheduling Status → as per lead journey on the form

    • Potential

    • Qualified

    • then Disqualified

    • and in the end Strategy and Discovery call booked

    • lastly, there will be a column with no status - Empty, for the leads that haven't interacted with iCloesed scheduler yet (created in Unified Inbox)

Custom column sortiing is not available at the moment.


Header Details

Displays general information about:

  • the Group by (Contact Stage or Scheduling Status)

  • Current number of leads in the pipeline stage

When hovered on the right corner of the header, you will see additional actions:

  • Colapsed Column

  • Box for selecting all leads in the pipeline stage

Additionally, once the box for selecting all leads in the pipeline column is checked, you will be able to select all contacts in the pipeline and to make actions in bulk, such as:

  • Assign Setter Owner or

  • Contact Stage updates


Column Collapse

Next to any column header, you will have the option to colaps the column.

By minimizing columns you will save screen space and make your view more focused.

You can expand columns back by clicking on the collapsed card.


Drag-and-Drop Card Movement

iClosed drag-and-drop allows you to move the lead cards horizontally between columns.

If an update fails for any reason, we have a built-in safeguard to catch if the card wasn't placed to the column propelry and to automatically return the card to its original column.


Pipeline Card Breakdown

Each lead card acts as a self-contained data center for that specific prospect:

Primary Contact Identifier

First thing you'll see at the top left of the contact card is the primary identifier for the lead (like their Email Address or Phone Number) alongside quick-action icons to duplicate, copy links, or delete individual records.

This field is hard-coded and can't be removed from the card, unlike from other fields.


Custom Field List

Custom field list on the card includes First Name, Last Name, Phone Number, and their current scheduling status by default.

Card will show four fields by default while all additonally selected fields will be collapsed, that you can show at any time on a single click.

Appearance of the fields shown on the cards is customizable.

By clicking on the "Fields" button at the top right of the screen, the dropdown with all fields, includuing custom created ones will appear for yu to selected


Pipeline Card Inline Interactivity & Actions

iClosed Pipeline Cards are built for fast and simple use and editing. Instead of opening a new tab or loading a separate page for every change, you can update information and trigger actions directly from the card:

  • Open the lead Contact Card - Click on the lead’s email or name to jump straight into the contact card where you'll find full lead journey and interaction history.

  • Copy Phone Number - Hover over the phone number for the copy icon to show and click on it to copy it to your clipboard.

  • Change iClosed Scheduling Status/Contact Stage - Click directly on the Scheduling Status or Contact Stage field (depending on the field selection and Grouped By selection) to open a dropdown and update information without moving the card.

  • Edit Custom Fields Inline - Click into any custom field on the card to type or select changes and iClosed will save it automatically in real time.

Additional actions that you can take on the Pipeline Card will show in the top right corner of the card, once you hover over the card. Here're all available actions:

  • View chat: quick access to Unified Inbox chat with the contact. If the chat doesn't exist yet, iClosed will create it for you, so you can immediately start communicating with the selected contact.

  • Three dots menu:

    • Copy URL button for the Contact Card URL

    • Edit Contact option

    • Merge Contact option

    • Add Note button - opens a pop up for adding a note about to the contact card

    • Add call - option for scheduling event with the lead

  • Checkbox - for selecting one or more cards for bulk actions.
