Introduction to the Global Data, what is it and how to utilize it's potential

Global Data is your central intelligence hub, where you'll be able to see every contact that ever interacted with your scheduler.

It's the main leads dashboard, and a place where you can track and manage leads progress through your funnel. Check out quick intro video.


Global Data - Core Elements

Lead Statuses

Leads are tagged with a colored badge that is representing the status of the stage they are in, such as:

  • Potential - When the prospect enters a phone number or email only but doesn’t finish the form.

  • Qualified - Prospects who have filled out the whole form, but for some reason didn't book a call.

  • Disqualified - These are the ones who filled out the form, but hit your disqualification criteria set in event setup.

  • Discovery call - Leads that scheduled a Discovery event.

  • Strategy call - Status referring as Strategy call booked, basically a sales call.


Contact creation date filters

Use date filter on the Contacts section to filter out leads based on their creation date.


Columns

Global Data menu gives you full control over data you'd like to see and how you want to see it. You can add or remove columns such as, Event Source, Call Duration, or Closer name, depending of what you'd like to see on your screen.

Wanna hear about the best part? The columns are flexible, and will adjust automatically based on the section you are on, whether that's:

  • Contacts - main screen with standard information about the leads.

  • Appointment Setting - Additional menu for the setters, where they will manage all leads that are in "potential", 'qualified" and "disqualified" status.

  • Calls - view for all leads that have scheduled at least one call.

  • Deals - all information about the deals you've added to "Sale" outcomes.

Therefore, if you're looking at any of the four sections from above, the columns update and adjust to show what matters for that specific tab you're on the most, making it easy to keep an eye on the key information that will help you drive your decisions.


Contact card

Contact cards are basically files of the leads. To view more information about every lead (contact), click on their email or phone number in any of the Global Data sections to open contact card will open.

You'll be able to see all the important information about the contact selected, from when they first interacted with your scheduler, their current lead status, with whom they've booked a call, and most importantly, the call outcome.

And that's not all, you will be able to change owners for the specific lead, add new deals, and even add additional notes for storing important information about the lead.


Global Data sections - detailed overview

Now that you are familiar with the basics of the Global Data menu, let's dive in deeper into it's sections.

Contacts view

This is the default view of the Global Data dashboard, where every single contact will show up in the "Contacts" tab.

Appointment setting view

This view is built to help you take advantage of all the contacts captured by the scheduler. Here, you'll find only the contacts who engaged with your scheduler, but didn't book a meeting, in following statuses:

  • Potential

  • Disqualified

  • Qualified.

This view helps your appointment setter quickly see newly captured contacts, get in touch with them and potentially turn them into appointments (qualified leads) within a few clicks, like displayed below.


Calls view

This view shows all calls booked in all of your schedulers. In case you notice more rows here than in the Contacts tab, that’s completely normal. Each call is listed as its own row, while in the Contacts tab, each and every contact is shown only once, even if they’ve booked multiple calls.

Calls tab will show all leads who have booked a call, with the ability to track outcomes and lead data based on call details.

As presented above, the Calls view allows you to pull in valuable columns with data, such as Call outcome, the reason for "No Sale", and even Objections, along with the prospect's answers. This way, you will be able to identify patterns between lead quality, call outcomes, and sales representative performances.

For keeping your data consistent, clean and up to date in your Calls view, it is important for your team to add call outcomes after each and every call.

Deals view

This is a place where you can track all deals attached to to your leads. Each tab comes with its own set of customizable columns, that are important for tracking conversion, product/services sold and deal values.

And that's not all. Deals section has additional menu - Transactions.

Transactions is a mini-menu that shows all picked up payments from your payment processor (if connected with iClosed. Learn more about Transactions here).

Filters, Smart Views, and Exporting of data

Filters

Use the Filters option to segment leads based on specific criteria.

Additionally, you can also save these filtered views as Smart Views for quick access in the future, without the need to reset filters every time.

After you apply filters, feel free to utilize the Export button for pulling out lead data whenever you need it.

Smart Views

Smart Views are here to help you create saved filters for quick access to specific lead data, without the need to keep setting your filters over and over again, which will help you to save time and improve efficiency when navigating Global Data.

You can keep Smart Views as private or to share them with your team, depending of your preference.

Exporting data

Export feature allows you to extract all four sections in one .xlsx file easily:

  • Display all the desired columns first, since the exported file will show columns and data as presented in your view

  • Click on the "Export" button, and wait a few seconds until your export file is ready to download

  • Download previous exports in the history tab at anytime

Exported file will be in .xlsx format, since it extracts all four sections broken down into excel sheets inside the file.
