Perfect way to troubleshoot live event schedulers and to see total number of slots available for the day

Live event troubleshooter is definitely the easiest way to troubleshoot an Event if you have Troubleshooting permissions turned on for your user role, such as Super Admin and Sales Manager roles.


By utilizing this option, you will easily see bookings of all of your hosts at a glance, easily spot an issue if any, and know better where to head next in order to make necessary adjustments.


How to access the troubleshooter

  1. Find the Event you would like to troubleshoot and

  2. Click on "View Booking Page" button

Booking page will open in new tab, with your scheduler and the next step is to launch a troubleshooter by clicking on the "Troubleshoot Event" button


How to troubleshoot

Once you click on the "Troubleshoot Event" button, the calendar page will appear with the troubleshooter on the right side pane.

Introduction

On the left, you'll be able to select a date you'd like to troubleshoot, even in the past and to see the time zone read from your computer.

Pro tips

In case you're located in different time zone than the time of the market you are targeting, the best way to troubleshoot a live scheduler page would be to adjust time zone per hosts actual availability.


Example

I'm a super admin who is troubleshooting live scheduler for my hosts, and I'm located in Central Europe.

My hosts are located or simply work/are available in US Pacific Time zone, since that's the market we're targeting (Working hours are from 8am to 5pm pacific standard time).

Live scheduler troubleshooter will automatically read Central Europe as the time zone, since that's my actual time zone, but for easier tracking and not doing the math in my head for converting CET to PST, I will change the time zone to US Pacific time, and see actual working hours for the market and my closers availability times.

Top right corner of the troubleshooter will show:

  • the time slots according to the Start Time increments set in the Event setup and

  • total number of slots available for the day, calculating maximum number of slots available, considering all hosts added to the even, and when taken slots are excluded.

With this improvement, your troubleshooter is not just helping you understand why your slots are blocked, but help you make business decisions easier.


Troubleshooting explained

  1. Select a specific date from the calendar on the left that you'd like to troubleshoot

  2. Scroll the right side bar to see:

    1. available slots per time increments

    2. general information about slot availability
      partially (with number of available and unavailable slots) or
      if a slot is available for all hosts

    3. Click on ​"More details" to see which host is booked at the specific time, and which host is available

    4. Specific reason for slot not being available for a specific host
      (see the full breakdown of all troubleshooting labels below)

  3. Close the troubleshooter by

    1. clicking on the "Close Troubleshooter" to return to the scheduler page or

    2. closing the tab in your browser


Understanding the troubleshooter labels

Available slot labels

Label

Description

All hosts are available

You have all hosts available for the selected time slot

Available

Slot is available for the number of host/s shown, while one or more hosts are unavailable for the selected time slot


Unavailable slot labels

Description

All hosts are unavailable

None of the hosts added to the event is available.

Unavailable

Slot is unavailable for the number of host/s shown, while one or more hosts are available for the selected time slot


Unavailability reasons

Label

Description

Pending Invite

The host has not yet accepted the invite to join iClosed.
Host didn't meet the criteria to start taking calls

Call Booked

Host already has a call booked for the specific time slot

Busy on Calendar

The hosts Google Calendar, added to Calendar Connections, is blocking the slot due to "Busy" status for the specific time slot

Not Available

Host has not set their Availability for this slot or Date override set for this host is affecting selected time slot

Event Duration

Duration of event is longer than the host is available time between events.

Buffer

Slot unavailable for the host due to buffer added in the Events settings

Too Soon

Event setup is not allowing invitees to schedule a call →
"Guest cannot schedule within" minimum period of time

Rule Applied

The host has been removed from the event due to
Automation → Rules applied

Date Range - Future

The date range for the duration of this event is limited and the selected date is outside of the date range set for the event.

Date Range - Past

Selected date for troubleshooting is in past

Time Range in past

The selected date is not in past, but the time slot you've selected to troubleshoot is in past
