How to add and customize email or SMS reminders?

or how to customize Notifications that will be sent automatically from your scheduler

Notifications section inside the Event Builder is a place where you can tailor email and SMS notifications. Navigate to AI Scheduler → Events and click on:

  • Any existing Event → and select Notifications section from the left side menu or

  • Create New Event → and define event details and hosts first in order to be able to access the Notifications section


Customizing email and SMS notifications

  1. Select Notifications section

  2. Locate notification you'd like to edit and click on "Edit" button inside of the section

  3. Change text and Save to keep changes

  4. Repeat the process for other notifications

Inside the Notifications section you can edit SMS reminders as well, but only user with Super Admin permissions can turn them on, because of the additional costs that are text messages associated with.

In case you notice any extra space in your notifications, that may be because of the space added inside the template between the text, or a dot "." in the User name, which may be displayed as extra space when that specific variable is selected in email templates.

iClosed Workflows provide you additional level of notifications customization, emails and SMS sent to hosts, specific users or/and leads. Here're currently available triggers:

  1. After new Event is booked

  2. Before Event starts

  3. After Event starts

  4. After Event ends

  5. After Event is cancelled


Adding Notification reminders

  1. Select Notifications section inside the Event Builder

  2. Locate reminder notification you'd like to edit and click on "Edit" button inside of the section.

  3. And simply click on Add another reminder

  4. Additional timings selection will appear, from which you'd be able choose send out time of the 2nd reminder

You can add up to 5 reminders, but bear in mind that template can't be customized for each timing. To do that, you'd need to set up a Workflow ( AI Scheduler → Automations → Workflows) that is available to Business and Enterprise users only.
