Integrate iClosed with SendBlue in just a few simple steps via Zapier

Here's how you can integrate your iClosed scheduler with SendBlue, to create contacts and send iMessages to your meeting invitees.

Pro tips

Before starting the integration, make sure to set up your iClosed event first (How to create event) and set phone number as primary contact information on your form (Invitee questions) to ensure you can contact every lead via SendBlue iMessages.


Step-By-Step Guide

After creating your event and defining invitee questions in iClosed, you’re ready for the integration setup.

Before we start, make sure to book a test call, that you will fetch in Zapier for testing purposes.

Pro tips

If you'd like to send iMessages via SendBlue workflows, make sure to create custom variables for Invitee meeting start time that you'll place inside of the message, meeting location, and to set up a Workflow in in SendBlue first and publishing, before you start building workflow in Zapier.

For all additional information on how to build workflows in SendBlue, please reach out to their customer support team or check their Help Center articles.

Navigate to Zapier and create new workflow to start:


Option 1 - Send iMessages to all leads no matter their scheduling status in iClosed

  1. Choose iClosed Contact By Status trigger and configure it as follows:

    1. Final status = Strategy call booked

    2. Delay time = 300-600 seconds to give time to the leads to go through the form

    3. Send last active status = YES

  2. Action - Zapier Paths

    1. Split into as many paths as you've wished based on iClosed lead statuses

    2. Potential - leads that drop off from the form
      Path condition → iClosed lead status exactly matches → type text Potential

    3. Qualified - leads that fill out the form, press continue button but don't book a call
      Path condition → iClosed lead status exactly matches → type text Qualified

    4. Disqualified - leads that fill out the form, press continue button but can't book a call as per event criteria
      Path condition → iClosed lead status exactly matches → type text Disqualified

    5. Call booked - leads that have booked a call
      Path condition → iClosed lead status contains → type text call
      (or create separate workflow with Call booked trigger only - explained in "Option 2 - Send iMessages to leads that have booked a call only" below).

  3. Action - Import contact in SendBlue

    1. Do this inside of each path

    2. Map out all information about the contact from iClosed (e.g. Name, phone, email...)

  4. Action - SendBlue Send outbound message or Enroll lead in workflow (if you've prepared workflows for every lead status) or combine

    1. Do this inside of each path

    2. Map out following:

      1. Lead phone = from iClosed

      2. Type in outbound message

      3. Choose outbound phone number from the dropdown in SendBlue field From number

Save, publish Zap and you're done.


Option 2 - Send iMessages to leads that have booked a call only

  1. Choose iClosed Call booked trigger

    1. Select both Discovery and Strategy call event types

  2. Import contact in SendBlue

    1. Do this inside of each path

    2. Map out all information about the contact from iClosed (e.g. Name, phone, email, even custom variables that you've created in SendBlue such as meeting location, event name, contact start time pretty, etc...)

  3. Action - Zapier Delay For

    1. Set time (number)

    2. Choose time unit (minutes, hours, etc...)

  4. Action - SendBlue Send outbound message or Enroll lead in workflow (if you've prepared workflows for every lead status) or combine

    1. Map out following:

      1. Lead phone = from iClosed

      2. Type in outbound message

      3. Choose outbound phone number from the dropdown in SendBlue field From number

Save, publish Zap and you're done.


Additional options

Per iClosed triggers

In case you'd like to update contact in SendBlue as per information from iClosed or any additional detail added such as Note added to contact card, Appointment setting trigger, or even Data Intelligence payload, you can do that easily by choosing the proper iClosed trigger and selecting SendBlue action/s.

For example, we've created tags in SendBlue for Credit Score & Debt to income ration check in iClosed, and depending of the returned results, we'll be adding specific tag to SendBlue contact.


Per SendBlue triggers

SendBlue offers variety of triggers in Zapier that you may find very useful for updating information back to lead contact card in iClosed.

For example, if you're using Call recording feature, you can add a Note to iClosed Contact Card. Here's how to set it up:

  1. Choose SendBlue New Call Recording trigger

  2. Action iClosed → Search Contact by Phone Number only

  3. Action iClosed → Create Note

    1. Include whatever you'd like from SendBlue New call recording payload

    2. For example:

      1. Call time

      2. Call duration

      3. Recording URL

      4. Transcript

Save, publish Zap and you're done.
